The Personnel Calculation (Personalberechnung) estimates how many full-time positions a facility needs under the minimum staffing ratio (target, SOLL). KiDig calculates each group and adds management hours and facility-wide extra positions. The calculation is currently available only for Baden-Württemberg; it does not replace a decision by the KVJS.

What you enter

Per group (group configuration, with a validity period):

  • Group Type, e.g. Regular group, Full-day group, Nursery, Daycare. It determines how much staff is needed per opening hour.
  • Hours Open per week and the opening days.
  • Randzeit (off-peak time) per day: hours at the edges of the opening time with a lower staffing need. Regular group, Half-day group, Play Group and After-School Care (School) have no Randzeit; an entered value does not count there.
  • Numbers of children (under 3, from 3 to school entry; school-age children for statistics only) and, if wanted, "Use child-based calculation (instead of hours-based)".

For the whole facility ("Facility-Wide Extra Positions", with a validity period):

  • Extra Personnel Positions: Language Support, Social Hotspot, Migration, Other and a Manual Leadership Release, each in positions (e.g. 0.5 = half a position).
  • Extended/Reduced Annual Opening Hours of Individual Groups and a small KVJS Adjustment for rounding differences, both in positions, also negative.
  • Closed Days and Vacation Days per year (default 26 each).
  • Child Time Percentage / Preparation Time Percentage and the Gross Time Factor. They do not change the target; they are used by the Staff Allocation (Personaleinteilung).

How KiDig calculates

Per group, the need follows from the group type and the opening hours: a group needs more staff during the Main Care Time than during the Randzeit, and full-day groups and nurseries need more than half-day or regular groups. With the child-based calculation, the need also depends on the number of children; for very small groups KiDig uses a minimum group size. With the KiTaFlex calculation active, the KiTaFlex model applies: staff during the whole opening time plus preparation time per child.

For the facility: target = sum of the groups + management hours + extra personnel.

  • Management hours are calculated by KiDig from the number of groups, following the KiTaVO management time. The Manual Leadership Release comes on top.
  • Extra personnel: the extra positions, the annual opening hours and the KVJS Adjustment. If closed or vacation days differ from 26, KiDig adjusts: fewer closed days or more vacation days mean more staff, more closed days or fewer vacation days less.

Personnel Calculation, Staff Allocation and the carrier (Träger) overview use the same inputs. The Personnel Calculation PDF rounds differently in places, and closed and vacation days can be overridden in the PDF dialog; its figures can therefore differ slightly from the screen.

Legal background

  • § 1 (1) KiTaVO Baden-Württemberg: minimum staffing ratio per group type. It includes preparation and absence time and is calculated for facilities open five days a week on the basis of 26 closing days a year; with more or fewer closing days it decreases or increases.
  • § 1 (4) KiTaVO: the head of the facility is released for at least six hours a week for management tasks, plus two hours per group from the second group on.
  • The KVJS decision always prevails.

Common questions

The target is higher than expected. Check closed and vacation days: fewer than 26 closed days or more than 26 vacation days raise the need. Also check Randzeit, opening days and the group type.

The Randzeit changes nothing. For Regular group, Half-day group, Play Group and After-School Care (School) KiDig calculates without Randzeit.

The child-based calculation gives more than expected. For very small groups KiDig uses a minimum group size.

"Staff calculation is not yet supported for this state." The calculation is currently available only for facilities in Baden-Württemberg.
