In the duty roster (Dienstplan) you set who works in which group on which day, and from when to when. KiDig shows whether each group is staffed sufficiently, checks breaks, and tells your employees about the plan once you publish it. The duty roster is currently in beta and only visible to facilities it has been enabled for.
It is different from the staff allocation (weekly hours per group, no individual days) and from the "fixed roster" (Fester Rahmendienstplan) tariff model of time tracking.
Adding shifts
- In the browser under ☰ → Dienstplan: drag a person from the sidebar onto a group, or click the hours field. A shift has a start, an end and a time type (child time, disposal time, irregular disposal time or management time).
- "+ Weitere Schicht" adds a second shift for the same person in the same group. For another group, open that group's day; the person can only be planned there at a different time.
- Management time can only be planned for people whose contract has management hours or who are the leader or deputy.
- In the KiDig app (the "DP" tab) the leader sees today, changes, moves or removes shifts, and finds a replacement for someone who is sick with "Vertretung finden".
Copying
- Copy a day: copy one group's day to tomorrow, the rest of the week, next week, the same weekday for the next 4 weeks, or up to a date.
- Copy the previous week: shows a preview first and fills only empty days. Public holidays and closing days stay free, people without a valid contract are left out, and sickness, vacation and times outside opening hours are shown. You can deliberately overwrite single days; that can be undone once within 30 days, as long as none of those days has been changed since.
What KiDig checks
- Overlaps are refused straight away: the same person cannot be planned twice at the same time, not even in two groups.
- Coverage: the core and edge times in the group configuration determine how much staff the group needs, more in core time than at the edges. KiDig compares that with the planned hours and shows per day whether the group is sufficiently, barely or clearly understaffed. People who are sick or on approved vacation do not count; in the day planning in the browser, neither do housekeeping, cleaning, non-care staff and accompanying helpers. KiDig does not weight qualification (specialist or not) in the duty roster.
- Breaks: for each person and day, across all groups, KiDig checks whether the breaks meet the tariff's break rules (by default 30 minutes after more than 6 hours, 45 after more than 9; minimums under § 4 ArbZG). This runs even when break deduction is switched off. A violation is a notice ("Pause fehlt"), not a block.
- Hours: the sidebar shows how much each person still needs to reach their target; the employee week shows who is above their contract. Planning more is allowed.
- Not checked: the maximum daily working time and the rest period between two shifts. Keep an eye on those yourself.
Publishing
- You publish week by week. Until then your employees see nothing of that week.
- The dialog shows beforehand what changes for whom, any break notices, and what prevents publishing: overlaps, shifts without a valid contract, and shifts on days with approved vacation or a sick note. Fix those and it goes through.
- The first time the button reads "Veröffentlichen", after that "Änderungen mitteilen". A publication cannot be withdrawn; change the plan and announce the change.
- Every publication is stored; the PDF is made from it.
What your employees see
- Only their own shifts in published weeks: in the browser on the dashboard, in the day view and under "Mein Dienstplan", in the app on the home screen and in the week view.
- Anyone newly planned, changed or removed gets a push notification in the KiDig app when you publish, if they are signed in to the app on their device and allow notifications. Changed notes alone trigger no notification.
- Note: if you change a week that is already published, your employees see the new times the next time they open it, but are only notified with "Änderungen mitteilen".
Duty roster and time tracking
- The duty roster changes neither target nor actual hours. What counts is what is recorded.
- With "Woche ausfüllen" employees can take over the shift times as actual hours for past, still empty days of a published week, including the current week up to yesterday; days the plan leaves free do not count as missing.
- The time clock reminds people to clock out: with a published shift 30 minutes after it ends, otherwise after ten hours.
Common questions
Why can't my employee see her shifts? The week has not been published yet, or she is not planned that week.
Why can't I publish? The dialog lists the reasons, for example a shift on a vacation or sick day, or a shift on a day the person has no valid contract for.
A message that the person is already planned? They already has a shift at that time, possibly in another group.
Does coverage count specialists? No, it counts the planned people who do care work. KiDig does not check in the duty roster whether there are enough specialists.
