KiDig keeps an hour balance for every person: recorded time minus target time, day by day, starting on 1 January with the carry-over from the previous year. Surplus hours can be paid out, negative hours can be written off. You enter both in the person's yearly settings.

Paying out or writing off hours

In the person's yearly settings there is the section "Pay out or write off hours at month end". There you enter, per month, how many hours are paid out or written off, separately for time with children/administration, preparation time (Verfügungszeit), irregular preparation time and management time (Leitungszeit).

  • Paid out: KiDig subtracts the hours from the balance in the chosen month.
  • Written off: KiDig adds the hours to the balance in the chosen month. This is how negative hours are written off.
  • The recorded times of the days do not change, only the balance.
  • Management time: paying out and writing off also work for management time.

The yearly settings belong to the person and the year, not to the contract. A contract change during the year does not affect the values entered.

Overtime or additional hours?

KiDig keeps one balance and does not distinguish between overtime (Überstunden) and additional hours (Mehrarbeit). Whether surplus hours were ordered and how they are paid is the employer's decision; the pay and due-date rules of the collective agreement apply.

For orientation under the TVöD:

  • Regular working time (§ 6 (1) and (2) TVöD): 39 hours per week on average, calculated over a period of up to one year. Plus and minus hours within that period are normal.
  • Additional hours (§ 7 (6) TVöD): hours that part-time employees work beyond their agreed working time, up to the regular working time of full-time employees.
  • Overtime (§ 7 (7) TVöD): hours worked on the employer's order beyond the full-time hours planned for the week that are not balanced by the end of the following calendar week. Paragraph 8 sets out exceptions (working-time corridor, framework time, shift work).

So not every surplus hour in the balance is overtime in the sense of the collective agreement.

Common questions

The balance did not go down after a payout. Check the month: the hours take effect only in the month and year in which they are entered.

A monthly limit is switched on. The limit cuts the running balance after each month, including the current month that has not ended yet. Payouts and write-offs are applied first, then the limit. More in Hour limits per day and per month.

Where does the balance at the start of the year come from? From the carry-over in the yearly settings, see Carrying over hours from the previous year.
