You enter each person's vacation for the year in their Jahreseinstellungen (yearly settings). KiDig suggests the entitlement under the TVöD, deducts the leave taken and shows what's left on the vacation page.

How much vacation is due?

Under § 26 TVöD:

  • 30 working days on a five-day week, 31 from 2027.
  • With fewer or more working days per week, pro rata: days per week ÷ 5 × 30 (or 31).
  • If employment starts or ends during the year: 1/12 per full month. But: someone who leaves in the second half of the year after at least six months keeps at least the statutory minimum (20 days on a five-day week, § 5 BUrlG), even if the twelfths give less.
  • A fraction of at least half a day rounds up to a full day; smaller fractions are dropped.

Additional leave comes on top, for example 5 days for severe disability (§ 208 SGB IX, on a five-day week). Facilities under church rules (e.g. AVR, or ARN of the Protestant Church in Baden) follow those rules.

KiDig's suggestion

In the yearly settings, KiDig shows a suggestion under § 26 TVöD next to "Urlaubstage", calculated from the year's contracts. "Übernehmen" (apply) puts it into the field; it is stored when you save. Check additional leave and the statutory minimum on leaving yourself.

There is no suggestion for years before 2026, for PiA, FSJ and Anerkennungsjahr, or when contracts overlap.

What counts as a vacation day

  • Vacation only counts on contractual working days. Someone working three days a week needs three vacation days for a week off.
  • "Urlaub halber Tag" (half day) counts as half a day.
  • Public holidays don't count as vacation.
  • Sickness comes first: if someone falls ill during vacation and reports it, that day isn't deducted as vacation.
  • December 24 and 31 don't count if the tariff marks them as off.
  • Closing days: a closing day with no other entry normally costs one vacation day on a contractual working day. If someone works on a closing day, set the keyword "Arbeit am Schließtag"; the day then costs no vacation.

Leave carried over from last year

  • Enter carry-over under "Urlaubstage aus dem Vorjahr". KiDig shows above it how much was left from last year.
  • The automatic carry-over button (at the bottom of the yearly settings) carries over the hour balances and this leftover leave at once, replaces any value already entered, and saves.
  • Carried-over leave is used first.
  • Under "Verfall Urlaubstage aus dem Vorjahr" you set until when it can be taken (default: 31 December). Under the TVöD, carried-over leave must be started by 31 March, or by 31 May in case of illness or operational reasons.
  • After that date, KiDig removes whatever carried-over leave wasn't taken.

Important: legally, vacation generally only lapses if you have concretely asked the employee to take it and warned that it will otherwise lapse (Federal Labour Court, 9 AZR 423/16). Special rules apply to long illness. KiDig doesn't check this; it removes the leave after the date you entered.

Where you see the balance

  • On the employee's vacation page and in the leader's vacation overview: taken, requested, remaining.
  • In the annual statistics and the PDF.

Other leave types (special leave, regeneration, conversion and swap days) and vacation requests are covered in Vacation requests.
